A ranch wedding for 100 to 150 guests brings several plans together: ceremony seating, dinner service, dancing, parking, and somewhere for guests to stay. A venue's capacity number starts the conversation. The next step is seeing how your particular wedding fits the property.
Reed Ranch is a family-owned wedding venue in Davenport, about an hour west of Spokane. Our Silver and Gold packages include seating for up to 150 guests and a 48-hour Friday-to-Sunday property rental. Here is how to work from an early guest estimate toward a weekend your vendors and guests can navigate.
Start with three guest counts
Keep track of the people you plan to invite, the number you currently expect to attend, and the final count due to your vendors. Ask the caterer and rental company when they need their final numbers. Avoid treating a hoped-for decline rate as a confirmed guest list.
Also tell vendors about children, vendor meals, and anyone attending only part of the celebration. If people will camp, that is another useful count to collect. A reception for 120 guests and an overnight group of 30 require different planning information.
Walk the reception layout at your expected size
Bring your approximate guest count to the tour and discuss a table arrangement. Account for the dance floor, buffet or service stations, dessert, gifts, and any photo booth. Leave room for people to move between them without interrupting dinner service.
Ask how the layout would change if the ceremony moved inside. If furniture needs to move between the ceremony and reception, name the team responsible and leave time in the schedule. Our outdoor wedding backup guide covers the decisions to make with your vendors.
Seating for up to 150 guests is included in Reed Ranch's packages. Confirm table arrangements, quantities, and the exact rental inventory with us before ordering linens, tableware, or decorations. Your agreement and event plan should identify what you still need to bring.
Choose the package around the services you need
Silver is $4,800 and includes the property, barn and outfield, getting-ready suites, on-site parking and camping, and the full weekend rental. It is a useful starting point if you want to book your own photography team and arrange media services separately.
Gold is $5,500 and adds eight hours of wedding photography, a three-hour photo booth, weekend use of audio equipment, and an edited photo gallery delivered afterward. The upgrade from Silver is $700. Compare that difference with the services you still need before booking them individually.
Gold does not include catering or a DJ. You arrange food and bar service, and DJ service is a separate add-on. Both packages give you one wedding per weekend and the Reed family on-site. Use the full package comparison to build your list of included services and separate vendor bookings.
Give your caterer a property plan
Share the venue address, guest estimate, proposed menu, and meal time with potential caterers. Ask them to quote the service you actually want, including staff, delivery, setup, and cleanup. Discuss refrigeration, prep space, serving location, power, and vehicle access with the venue before finalizing the catering plan.
Reed Ranch allows couples to bring their own vendors. Our preferred vendor page can be a starting point, and you are welcome to choose other providers. Ask each vendor to confirm availability and their current quote directly.
Budget for guest restrooms
Reed Ranch includes one porta potty for guests, and the indoor bathroom is reserved for the bridal party. For a wedding of 100 to 150 people, discuss additional restrooms or a restroom trailer early. Work through the event length, guest needs, placement, service, and cost with us and the rental provider.
Include restroom access in the layout discussion for guests with mobility needs. The property has some uneven ground. Let us know what accommodations your group needs before the wedding so we can discuss routes and parking together.
Plan the return trip before the party
Ask guests whether they expect to camp or stay elsewhere. On-site camping is available for tents, trailers, and campers; it is not hotel accommodation. Confirm camping locations and arrival arrangements with us, and give guests a packing list.
Guests staying off-site need a return plan. If you are considering a shuttle, request a quote using your actual lodging locations, passenger count, and pickup times. Confirm transportation availability in advance. Share the directions guide with the final event instructions.
Use the weekend without filling every hour
Friday afternoon can hold vendor deliveries, decorating, and the rehearsal. Saturday can focus on getting ready, the ceremony, dinner, and dancing. Sunday gives you time to collect belongings and complete the agreed cleanup before check-out. Confirm exact access and departure times with us and your vendors.
You do not need a large hosted event on all three days. Decide which gatherings matter to you, set a budget for them, and make clear which guests are invited to each part. A shorter Friday gathering can leave your family time to settle in.
Bring your guest list to a tour
Book a Reed Ranch tour to see how your 100-to-150-guest wedding could fit the property. Bring your estimated count, the weekends you are considering for 2027 or 2028, and the services you have already booked. We can walk through Silver and Gold alongside your plans.
