A wedding venue contract is one of the largest single-line costs in your wedding budget, and it’s usually the first big commitment you make. Once you sign, almost every other decision — vendors, dates, decor, scale — gets shaped by the venue you picked. So it’s worth slowing down on this one. Here’s the list of questions we’d ask if we were the ones touring.
Some of these will get asked naturally during a tour. Some won’t come up unless you raise them. Bring this list (or a version of it) to every venue you visit.
The basics
- What does the base rental fee include? Get an itemized list, not a brochure overview.
- How long do we have the property? Saturday-only? Multi-day? When does the clock start and stop, exactly?
- What’s the maximum guest count, comfortably? Not on paper — actually, with full tables and a dance floor.
- How many weddings do you host per weekend? One? Two? Back-to-back?
- What’s the rain plan? Walk through the indoor backup space. Would you actually want a ceremony there?
People and access
- Who will be on-site the day of? Owners? A coordinator? A part-time event manager? What hours?
- Who do we contact between booking and the wedding? Is there a single point of contact? How responsive are they typically?
- When can vendors arrive to set up? Some venues only allow same-day setup, which can be brutal for florists and rental companies.
- When does breakdown have to happen? Same night? Next morning?
Vendors and rules
- Is there a preferred vendor list? Are we required to use it?
- Can we bring our own caterer? If you can, are there kitchen restrictions?
- What’s the alcohol policy? BYO? Licensed bar required? Any restrictions on the type of alcohol?
- Are sparklers / fire pits / fireworks allowed? What about candles?
- Is there a curfew? What time does music have to be off?
Logistics
- What’s the parking situation? How many cars fit? Lit at night? Paved or grass?
- Is the venue accessible? Where are the ramps? Where do you recommend mobility-limited guests park?
- Where are the bathrooms? How many? If trailers — included or extra?
- Where do the wedding party get ready? Walk through both suites if there are two.
- What does the audio setup look like? Speakers, microphones, DJ-ready power?
- Where does the catering prep happen? Is there a real kitchen, or is your caterer working out of a truck?
The money questions
- What’s the deposit, and is it refundable? Under what circumstances?
- When is the final balance due?
- What insurance do we need to carry? (Most venues require $1M event liability with them as additional insured.)
- What happens if there’s damage? How is that assessed and charged?
- If we have to reschedule, what are the rules? COVID-era venues mostly have humane policies now; older contracts can be harsh.
The thing nobody asks but everybody should
After all that, the most useful question on a venue tour isn’t on most checklists:
“If we had to pick a date this week, what date would actually be open?”
You’ll learn more about that venue’s real availability — and what they’re willing to discount on — in the next 30 seconds than from any glossy brochure. If they’re booked solid, you’re lucky to get any date. If they’re flexible, you have leverage.
Take notes. Tour at least three places before signing anything. And trust your gut — most couples can tell within ten minutes whether a venue is going to feel like a wedding factory or like home. Listen to that.
