This Refund and Cancellation Policy applies to all bookings made with Reed Ranch Venue and Events (“Reed Ranch,” “we,” “us”) and to payments made through this website or through invoices issued via Zoho Books and Zoho Payments.
The short version
- The 50% retainer secures your date and is non-refundable after 30 days from booking.
- If we can rebook your date after a cancellation, we’ll refund your retainer minus a $400 administrative fee.
- The remaining balance (the other 50%) is due 30 days before the event.
- Refunds are processed within 14 days of the qualifying event (cancellation notice, rebooking, or return of damage deposit).
- Damage and excessive cleanup deposits, if any, are always refunded in full when not needed.

Retainer & balance
To reserve a wedding date at Reed Ranch, we require a signed venue agreement plus a fifty percent (50%) non-refundable retainer at the time of booking. The retainer holds your date exclusively and covers the cost of turning down other bookings for that weekend.
The remaining fifty percent (50%) balance is due thirty (30) days prior to your event date. Any add-ons or additional services requested by the Client will be invoiced separately and added to the balance due.
Cancellation by the Client
If the Client cancels the booking, the following conditions apply:
- Within 30 days of booking: If cancellation notice is received in writing within 30 days of the original booking date, the full retainer will be refunded, less a $400 administrative fee.
- After 30 days of booking: The retainer is non-refundable, except as described in the “Rebooking” section below.
- Balance already paid: Any payments made toward the balance (the remaining 50%) will be refunded in full if the cancellation notice is received more than thirty (30) days prior to the scheduled event date. Balance payments become non-refundable within thirty (30) days of the event.
Rebooking after cancellation
If the Client cancels after 30 days from booking but Reed Ranch is able to rebook a comparable event on the originally scheduled date, we will refund the Client’s retainer less a $400 administrative fee (the same fee that applies within the first 30 days). We will make reasonable efforts to rebook, but rebooking is not guaranteed.
Refunds under this section are issued within 14 days after Reed Ranch has secured full payment from the rebooking party.
Cancellation by Reed Ranch
If Reed Ranch is unable to fulfill its obligations under a signed venue agreement for any reason within our control, all deposits and payments will be returned to the Client in full within fourteen (14) days.
Reed Ranch also reserves the right to terminate any booking where the Client fails to meet material terms of the venue agreement (for example, failing to provide required insurance, failing to pay the balance on time, or violating our rules and regulations). In such cases, the cancellation provisions above apply, and the Client may not be entitled to a refund.
Date changes
If the Client requests to change the event date, we’ll make every reasonable effort to transfer the booking to a new date that works for both parties. Date changes are not guaranteed and depend on availability. The Client is responsible for any non-refundable fees or deposits that cannot be transferred to the new date.
Last-minute changes may impact the quality of the event, and Reed Ranch is not responsible for compromises in quality that result from a change in date.
Force majeure and unforeseen events
If an event is cancelled in whole or in part because of causes beyond Reed Ranch’s reasonable control — including acts of God, pandemics, fires, weather conditions, power outages, strikes, riots, or government orders — a complete or partial refund will be issued to the Client no later than fourteen (14) days after the date of the event, in accordance with the venue agreement.
Last-minute cancellations of outdoor site use due to inclement weather do not qualify for refunds. Reed Ranch provides indoor facilities (the barn and suites) as backup for weather.
Damage and excessive cleanup deposits
Where applicable, damage or excessive cleanup deposits are held after the event and used only to cover documented damage or extra cleanup as described in the venue agreement. Any unused portion of the damage or cleanup deposit is refunded to the Client within fourteen (14) days following the event, or within fourteen (14) days after any required repairs and cleanup are completed, whichever is later.
Add-on services
Add-on services (wedding photography, photo booth, audio equipment, DJ, additional seating, additional restrooms, etc.) selected on the venue agreement follow the same refund and cancellation terms as the base package. Once a third-party rental or vendor has been booked on the Client’s behalf, deposits paid to that third party may not be refundable and are the responsibility of the Client.
Applicable fees
The following administrative fees may apply:
- $400 administrative fee deducted from any refunded retainer, as described above.
- Extra cleanup charges at $50 per occurrence for cleanup of unnecessary messes (such as spilled alcohol, vomit, or restroom cleanup beyond normal use).
- Repair or excessive cleanup charges at $50 per hour per person for any damage or excessive cleanup that exceeds the damage deposit, invoiced to the Client along with photographic documentation.
All fees are documented in the signed venue agreement. Nothing on this page adds fees not already covered in your contract.
How refunds are processed
All refunds are issued through the same payment method used for the original payment where possible:
- Card payments: refunded to the original card. Processing time is typically 5–10 business days after issue, depending on the card issuer.
- ACH bank transfers: refunded to the originating bank account. Processing time is typically 3–5 business days.
- Check or cash payments: refunded by check, mailed to the address on file within 14 days.
Refund initiation timelines above (14 days) reflect when Reed Ranch issues the refund. Actual receipt of funds by the Client depends on the payment processor and financial institution involved.
Chargebacks and disputes
If you believe a charge from Reed Ranch is incorrect, please contact us directly before filing a chargeback with your card issuer. We resolve most billing issues within a day or two of hearing about them. Filing a chargeback without first contacting us may delay the resolution of your issue.

All cancellation and refund requests should be submitted in writing (email is fine). Include:
- Your name and the name of the other party on the venue agreement
- Your event date
- A brief description of your request
- Any relevant supporting information

The specific terms of any particular booking are contained in the signed venue agreement between the Client and Reed Ranch. Where the two documents differ, the signed venue agreement controls for that booking. This page also serves as the applicable refund policy for any payments made through this website or via invoices issued by Reed Ranch.
Changes to this policy
Reed Ranch may update this policy from time to time. Changes will be reflected in the “Last updated” date at the top. Substantial changes will be noted prominently. The version of this policy in effect at the time of your booking applies to that booking.
